Overview

Provides complex administrative support and support for the successful operation of the Business Unit. Works under general direction of the Unit Vice President.

Responsibilities

Administrative: 

  • Compose correspondence and presentations. 
  • Screen phone calls and emails to resolve routine and complex inquiries. 
  • Keep accurate files and records for reporting data. 
  • Responsible for VP and departmental calendars and scheduling of appointments. 
  • Maintain strict confidentiality of information and materials.

 

Meetings: 

  • Plan, schedule, and organize internal/external meeting arrangements, materials, takes minutes at meetings, record and distribute minutes. 
  • Participate and coordinate higher level meetings.

 

Departmental Assistance: 

  • Prepares and processes expense reports, invoices, and purchase orders. 
  • Assist with travel arrangements and itineraries. 
  • Fields questions and inquiries about departmental business. 
  • Acts as liaison between departmental management and internal/external clients or resources. 
  • Serve as subject matter expert in one or more areas

 

Project Management: 

  •  Keep reports, tracks projects and department initiatives, reviews and adjusts project timelines. 
  • Assist or manage special projects and assignments.
  • Other duties as assigned by Manager

Qualifications

Scope:

Assigned to Vice President of a department or business unit. Assist in the management of departmental issues.

 

Knowledge and Skills:

  • Knowledge of administrative concepts, practices, and procedures plus basic business knowledge and protocol. 
  • Proficiency in standard software programs and office equipment. 
  • Good communications skills, organizational skills, accuracy, with excellent attention to detail and deadlines.

 

Experience and Education:

  • High School Education with 3-5 years administrative experience.
  • Associate Degree with 5 years administrative experience preferred
