Overview

The Administrative Assistant provides essential support to the division, working closely under the guidance of a Senior Executive Assistant. This role is ideal for an early-career professional who is detail-oriented, proactive, and eager to grow within a dynamic business environment. 

Operating with general supervision and following established procedures, the Administrative Assistant ensures smooth day-to-day operations. Key responsibilities include the various activities needed to effectively run busy sales, marketing, and operations offices. This role needs to be technologically savvy and able to work in calendars, presentations, and expense reports as needed. Discretion and the ability to operate professionally at all times are essential for this role. 

This role requires residence near the Atlanta area, with the expectation of occasional in-office presence.

Responsibilities

  • Maintains strict confidentiality on all business matters
  • Completes various departmental duties using personal discretion
  • Assures smooths functioning of leader/executive’s day including calendar management and correspondence
  • Manages all aspects of planning, execution and follow up for all meetings
  • Effectively manages calendar changes to minimize disruptive impact
  • Effectively writes business communications occasionally in the voice of the assigned leader/executive
  • Manages all administrative functions needed to effectively achieve departmental goals
  • Creates and edits documents, spreadsheets and presentations with minimal errors at an intermediate level
  • Maintains accurate records keeping and document workflow for department
  • Maintains and organizes relevant business information, conducts research, as needed and shares with leadership in a timely manner
  • Acts as liaison between departmental management and others
  • Manages multiple complex special projects and assignments providing summaries and reports
  • Manages and fosters strategic relationships with internal and external customers and vendors

Qualifications

Required Knowledge, Skills, and Abilities:

  • Ability to filter and appropriately share business information with leaders
  • Ability to maintain highly organized electronic work environments
  • Ability to brief leaders on key information
  • Ability to manage multiple complex workflows and follow up in a timely manner
  • Highly effective verbal and written communication skills

Preferred Knowledge, Skills, and Abilities:

  • Skills in creating visually appealing materials

Experience:

  • 4-7 years of administrative experience

Required Training, Certification and Education:

  • Bachelor’s degree or equivalent experience

Preferred Training, Certification and Education:

  • ACEA, CAP or PACE Administrative Certification within 18 months of hire

Working Conditions:

  • Home Office/Remote
  • Occasionally requires working in Atlanta office
  • Ability to travel up to 20%
  • Must be able to use equipment at workstation for up to 8 hours daily
